We’ve taken steps to make implementing Voya-offered benefits and services simple and seamless by streamlining our process; offering high-touch services and communications; and providing one Implementation Manager who serves as a single point of contact.

Here’s what you can expect from us

An experienced Implementation Manager will help you stay on track by becoming an extension of your team and serving as the single point of contact throughout implementation.

Backed by an entire Voya support team, we’ll offer solutions to help maximize the value of your benefit(s) and set you up for success after implementation. Plus, we’ll facilitate the integrity of your data files and a secure, smooth transfer by acting as a bridge with your benefits administration vendors:

Our six-step implementation process: How it works

At Voya, we help organizations of all sizes and complexity — and have honed our implementation process to six steps to ensure that your Voya-offered benefits and services are implemented correctly.

Here’s an overview of what happens at each step:

Step 1: Introduction and welcome

Once we receive confirmation you will offer our benefits and services, we’ll set up an implementation kick-off call, during which you’ll meet your Voya service team and learn more about your plan design and next steps.

Step 2: Employer agreements

Following the kick-off call, we’ll send employer agreements based on the products and services you elected with us for you to review, sign and return to us.

Step 3: Employee enrollment readiness

Next, we’ll email enrollment materials — some of which may be customizable — and your link to your Employee Benefits Resource Center (EBRC), if applicable, for your review.

Step 4: Data setup and transfer

This step includes providing you with a product build packet, meeting with you to review file requirements and the enrollment platform roadmap, and working with your technology vendor to build out the enrollment platform and files.

Step 5: Preparation for administration

Once the administration provisions, plan designs and all agreements are signed, your Implementation Manager will provide finalized documents; we’ll also schedule a training call to prepare your team for administration.

Step 6: Transition to ongoing service

The Implementation Manager will communicate when implementation is officially complete and will provide a Voya Contact Reference Sheet, outlining who from our team will provide ongoing service.
